Toronto law firm decides against Open Text

RIDGEWOOD, US: World Software Corporation announced Toronto-based law firm Cavalluzzo Hayes Shilton McIntyre & Cornish LLP has purchased and installed the Worldox Document Management System (DMS).

Worldox is slated to allow for firm-wide sharing, searching and management of documents, e-mails and scanned images. Cavalluzzo began looking for a DMS in 2003 in order to better manage e-mails and increase productivity and spend less time searching for documents. They looked at DMS offerings from Open Text (formerly Hummingbird) and Worldox.

According to Michael Morris, Cavalluzzo’s information technology manager, “Our firm decided against Open Text because it is a SQL-based system, and if the SQL server were to go down, the firm would lose access to all its documents. Worldox, on the other hand, has a dual database architecture and a distributed mirroring function, which mitigates this outage risk. Additionally, we believed in the longevity and stability of Worldox, whereas Open Text’s product had undergone several acquisitions in recent years. For these reasons, Cavalluzzo decided to implement Worldox.”

Legal Software Connection, Inc., a top Worldox Systems Integration company headed by Frank Jones, was retained to manage the installation and training in early 2010. Morris noted, “Frank Jones is a Worldox expert and he did a fantastic job with our planning and rollout. The entire installation was completed over a single weekend, so our lawyers and staff had virtually zero down time.”

The firm’s users have adjusted to Worldox quite well. Morris said, “Worldox solves a complex document management need with ease and simplicity — there’s no need for extra servers to run the software; we only need a PC-Class device for indexing. Best yet, the support we have received from Worldox has been unparalleled. Worldox even created a custom feature for us to allow lookup table text to be searched, the results tagged and passed to the Worldox Find dialog as Boolean queries. This is especially useful in matter table lookups, as it allows people to easily locate matters they may want to search based on the text entered in the billing systems matter description. As such, Worldox makes searching across multiple matters very easy. Every expectation I have had of Worldox and World Software Corporation has been exceeded.”
